Privacy Policy

This policy explains what personal information SiteBrief collects, why we collect it, how we use it, and the choices and rights you have. We've written it in plain English. If anything is unclear, email us at infositebrief@gmail.com and we'll explain.

SiteBrief Ltd is the data controller for the information described here. We are registered in England & Wales. We handle personal data in line with UK GDPR and the Data Protection Act 2018.

1. Who we are

SiteBrief is a construction project management platform for UK homeowners, builders and consultants. This policy covers our websites at sitebrief.co.uk and sitebrief.app, and the SiteBrief, SitePlanner and SiteAgent tools provided through them.

2. What we collect

We only collect what we need to run the service. Depending on how you use SiteBrief, that may include:

We do not ask for or need special-category data (such as health, ethnicity or financial account numbers) to use SiteBrief. Please don't enter it into the tools.

3. How we use it, and our lawful basis

  • To provide the service — saving your projects, generating documents, and letting you share them. Lawful basis: performance of a contract with you.
  • To answer your questions through SiteAgent and to respond when you contact us. Lawful basis: legitimate interests / performance of a contract.
  • To connect you with a professional — if you ask us to request a structural engineer (or other consultant) through our referral network, we share the project details you provide with that professional so they can help. Lawful basis: your request, and performance of a contract.
  • To keep the service secure and improve it. Lawful basis: legitimate interests.

Where we rely on legitimate interests, we've considered your rights and only use your data in ways you'd reasonably expect.

4. Where your information is stored

Some information — including the projects you build in SitePlanner — is stored locally in your own browser on the device you use, not on our servers. Clearing your browser data removes it.

Information you send us (such as account details, enquiries, and SiteAgent questions) is processed on our behalf by trusted service providers, including hosting and infrastructure suppliers. SiteAgent uses a third-party AI processor to generate responses; the text of your question is sent to that processor to produce an answer. We choose providers that offer appropriate protections, and some may process data outside the UK — where that happens, we rely on safeguards such as the UK's approved transfer mechanisms.

5. Who we share it with

We do not sell your personal information. We share it only:

  • With professionals in our network when you ask us to arrange a consultation or assessment — limited to what they need to help with your project.
  • With service providers who run our hosting, infrastructure and the SiteAgent assistant, under contracts that require them to protect your data.
  • Where we are required by law, or to protect our rights, users or the public.

If our referral network connects you to a structural engineer or other consultant, that professional becomes responsible for the personal data you then share directly with them under their own privacy terms.

6. How long we keep it

We keep account and enquiry information for as long as your account is active and for a reasonable period afterwards, then delete or anonymise it. Project data held in your browser stays until you clear it. If you'd like us to delete information we hold about you, just ask (see section 8).

7. Cookies and local storage

SiteBrief uses your browser's local storage to remember things like your theme preference (light or dark) and your in-progress projects. These stay on your device. We keep any analytics minimal and use it only to understand how the service is used and to improve it.

8. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you;
  • Ask us to correct anything that's wrong;
  • Ask us to delete your data, or restrict how we use it;
  • Object to certain uses, and ask us to port your data elsewhere;
  • Withdraw consent at any time, where we rely on it.

To exercise any of these, email infositebrief@gmail.com. You also have the right to complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.

9. Children

SiteBrief is intended for adults managing construction projects. It is not directed at children and we do not knowingly collect their data.

10. Changes to this policy

We may update this policy as the service develops. When we make material changes, we'll update the date at the top of this page. Please check back from time to time.
